Parent & Swimmer FAQ
Welcome to the Kiln Creek Dolphins Summer League Swim Team!
Whether this is your swimmer’s first experience with competitive swimming or they have been swimming for years, we want every family to feel welcome and understand how our summer league program works.
Our goal is to provide swimmers with a fun, positive environment where they can learn, improve, build confidence, make friends, and enjoy being part of a team.
Below are answers to some of the most common questions families have about the season.
ABOUT THE TEAM
1. Is this a competitive swim team?
No. The Kiln Creek Dolphins are a summer league recreational swim team.
Our primary goal is for swimmers to learn the sport of swimming, improve their skills, gain confidence, make friends, and have fun.
We do participate in swim meets, and swimmers are encouraged to challenge themselves and improve their times. However, swimmers are not required to be highly competitive or have previous swim team experience.
2. Does my swimmer need to know all four strokes?
No.
Swimmers do not need to know all four competitive strokes before joining the team.
- Swimmers ages 8 and under must be able to swim the length of the pool without assistance.
- Swimmers ages 9–18 must be able to swim 50 meters of freestyle and 50 meters of backstroke without assistance.
Our coaches will work with swimmers throughout the season to develop their swimming skills and introduce or improve all four competitive strokes.
3. What ages can participate?
The summer league is designed for swimmers within the league's eligible age groups, generally ranging from 8 and under through 18 years old.
A swimmer's age for league purposes is determined according to the league's established age rules.
4. Does my swimmer need previous swim team experience?
No.
Many of our swimmers are new to summer league swimming. Your swimmer does not need to have participated on a year-round swim team or have extensive competitive swimming experience.
What is most important is that they meet the swimming ability requirements and are ready to learn, participate, and have fun.
PRACTICES
5. How often should my swimmer attend practice?
Swimmers may attend as many practices as they would like.
We encourage swimmers to attend at least three practices per week because consistent attendance helps swimmers improve their technique, endurance, and confidence.
However, we understand that it is summer! Families have vacations, camps, other sports, family activities, and other commitments. We do not expect every swimmer to attend every practice.
6. What happens if we miss practice?
Nothing! Your swimmer can simply return to practice when they are available.
There is no penalty for missing practice because of vacation, illness, family commitments, or other activities.
7. What should my swimmer bring to practice?
Swimmers should generally arrive prepared with:
- Swimsuit
- Goggles
- Towel
- Water bottle
- Appropriate swim equipment requested by the coaches
- Sunscreen
- Positive attitude!
Please label personal belongings whenever possible.
8. Can parents watch practice?
Parents are welcome to support their swimmers, but they should allow the coaches to conduct practice without unnecessary interruptions.
If you have a question or concern about your swimmer, please communicate with the appropriate coach or team representative rather than interrupting a swimmer during practice.
SWIM MEETS
9. Are swim meets mandatory?
No. Swim meets are not mandatory.
Families can decide which meets work best for their schedules, and swimmers can participate in as many or as few meets as they choose.
We do encourage swimmers to participate when they are able because meets are a great opportunity to practice what they have learned, improve their times, support teammates, and experience the fun of being part of a swim team.
10. Does my swimmer have to be good at swimming to participate in a meet?
No.
Swim meets are designed for swimmers of different experience levels.
A meet is not just about winning. It is an opportunity for swimmers to challenge themselves, learn how meets work, gain confidence, and see their improvement throughout the season.
11. How do I sign my swimmer up for a swim meet?
Meet information and registration instructions will be provided through SwimTopia.
Parents are responsible for logging into SwimTopia and declaring whether their swimmer will attend each meet by the posted deadline.
Please pay close attention to deadlines. Once entries are submitted, changes may not be possible.
12. What happens at a swim meet?
A typical swim meet includes:
- Team arrival and check-in
- Warm-ups
- Coaches and officials meetings
- Swimmer events
- Relays
- Breaks between events
- Awards or recognition
- Team departure
Meet schedules can vary, so families should always review the information provided for each individual meet.
13. How long do swim meets last?
Meet length varies depending on the number of swimmers, number of teams, and number of events.
Families should plan for meets to take several hours. Specific arrival times, warm-up times, and estimated end times will be communicated before each meet.
14. What if my swimmer says they do not want to swim an event?
Event selection is handled according to team and coaching procedures.
Parents should communicate concerns with the coaching staff rather than making changes independently. Coaches consider a variety of factors when determining events, including swimmer ability, experience, age group, meet format, and team needs.
VOLUNTEERING
15. Why do parents have to volunteer?
A summer league swim meet requires a large number of volunteers to operate successfully.
Parents help with positions such as timers, marshals, officials, awards, and other meet duties.
The meets cannot run without parent volunteers.
Volunteering is also a great way to support your swimmer and be involved in the team experience.
16. Do I have to volunteer if my swimmer does not attend swim meets?
No
Volunteer requirements are based on the team's established policies and are separate from whether your individual swimmer participates in a particular meet.
Families are responsible for completing their required volunteer commitment by the end of the season.
17. What happens if I sign up for a volunteer position?
When you sign up for a volunteer position, you are committing to work that assignment.
Please arrive on time, check in as instructed, and remain for the entire assigned shift unless released by the appropriate team representative.
If an emergency prevents you from fulfilling your assignment, communicate with the team as soon as possible.
18. What if I don't know how to do a volunteer position?
Don't worry!
Many volunteer positions require little or no previous experience. The team will provide instructions or training when necessary.
Some positions, such as certain official roles, do require specific training or certification.
If you are unsure about a position, ask before signing up.
19. Can someone else complete my volunteer shift?
Yes, they can just make sure they sign in with the meet volunteer director.
FEES & REGISTRATION
20. How much does it cost to join?
Team registration fees are established each season and may change from year to year.
The current season's registration information, including early-bird pricing, regular pricing, sibling discounts, and registration deadlines, will be posted through the team's registration system.
21. Are there additional costs besides registration?
Families may have additional expenses during the season, depending on their participation.
These may include items such as:
- Team swimsuit or team apparel
- Goggles and other equipment
Specific costs will be communicated before they are required.
22. What is the volunteer commitment fee?
The team has a volunteer commitment requirement to help ensure that enough families participate in the work needed to operate the team and swim meets.
Families are expected to complete their required volunteer commitment during the season.
If the required volunteer commitment is not completed, the applicable volunteer commitment fee will be assessed according to the team's current policy.
TEAM CULTURE & EXPECTATIONS
23. What are the expectations for swimmers?
We expect every swimmer to:
- Listen to and respect the coaches.
- Treat teammates, opponents, officials, and volunteers with respect.
- Give their best effort.
- Follow pool and team rules.
- Take care of team and pool property.
- Encourage teammates.
- Demonstrate good sportsmanship.
- Help create a positive team environment.
- Represent the Kiln Creek Dolphins appropriately.
24. What are the expectations for parents?
Parents are an important part of the team!
We ask parents to:
- Support and encourage their swimmer.
- Respect the coaches' decisions.
- Treat officials, volunteers, opposing teams, and other families respectfully.
- Follow pool rules.
- Complete required volunteer commitments.
- Read team communications.
- Meet registration and meet-entry deadlines.
- Keep contact information current.
- Address concerns through the appropriate team channels.
25. What does good sportsmanship look like?
Good sportsmanship means celebrating your swimmer's accomplishments while also supporting their teammates and opponents.
Swimmers should congratulate others, encourage teammates, respect officials' decisions, and understand that mistakes are part of learning.
We want our swimmers to leave the pool each day feeling proud of their effort—not just their results.
26. What if I have a concern about a coach, swimmer, parent, or team decision?
We encourage families to address concerns respectfully and through the appropriate team process.
Please do not address a coach, official, swimmer, or another parent in the middle of a practice or meet when emotions may be high.
If you have a concern, contact the GPSA Representative or team president.
TEAM COMMUNICATION
27. How will I receive information from the team?
Important team information will be communicated through the team's official communication channels, including SwimTopia and team email communications.
Families should regularly check their email and SwimTopia account for:
- Practice information
- Meet announcements
- Registration deadlines
- Volunteer opportunities
- Schedule changes
- Weather updates
- Team announcements
- Other important information
28. What if I don't receive team emails?
First, check your spam or junk folder.
Then verify that your email address is correct in SwimTopia. If you are still not receiving communications, contact GPSA representative or team president.
WHAT TO EXPECT AS A NEW FAMILY
29. What should we expect during our first week?
The first week can feel like a lot of information!
Your swimmer will meet their coaches and teammates, learn where to go, become familiar with practice routines, and begin working on swimming skills.
Parents will also begin receiving information about practices, meets, volunteering, and other team activities.
Don't worry if you don't know everything right away. Everyone was new once!
30. What if my swimmer is nervous?
That is completely normal.
Starting a new team can be intimidating, especially for younger swimmers.
Encourage your swimmer to focus on learning, trying their best, and having fun rather than worrying about being the fastest swimmer.
Our goal is to help swimmers become more comfortable in the water, develop their skills, and gain confidence throughout the summer.
31. What is the most important thing for new families to know?
This is a team effort!
The Kiln Creek Dolphins are more than just swimmers in the pool. Coaches, swimmers, parents, volunteers, officials, and board members all play an important role in making the season successful.
We want families to get involved, ask questions, support one another, and enjoy the experience.
Most importantly, remember:
Swim hard. Have fun. Support your teammates. Make memories!
